Guest Rooms & Suites
Your Group Rooms Coordinator (GRC) is responsible for the following areas:
- Room reservations, special requests, VIP information
- Master account billing for guestrooms
- Room block status and pick up
- Registration correspondence via phone, fax or email
- Contractual deadline for contracted guest room rates and accommodations (attrition and reservation cut off dates)
Your GRC contact will provide you with a delegate list on a schedule agreed upon by both parties - this list will outline:
- Room type
- Confirmation number
- Guest name
- Arrival and departure dates
- Number of guests in the room
- Billing arrangements
- Guest room rate for each of your delegates with guest room reservations
Your GRC contact will begin contacting you 90 days in advance of your program arrival if earlier contact has not been established.

Hospitality Suites
Locations - There are various locations for hospitality suites on-site. If your group has contracted for a hospitality room, please check with your GRC contact to determine the location that has been held for you. Floor plans are available if you would like to see a layout of the room, just ask your Conference Service Manager for the floor plan of the hospitality room you have reserved.
Service and Menus - Our culinary and beverage teams would be pleased to handle the food and beverage requirements for your hospitality events. Your Conference Service Manager will serve as your point of contact to establish the menus, service times, serviceware, glassware and other details for your hospitality room.
Destination Management, Activities and Business Center
A full-service, in-house Destination Management Service Team stands ready to handle all of your individual and group activity needs! From booking transportation arrangements to get you to and from your outing, to food and beverage for your tours, our DMC Team will handle all of the details for you!
Seasonality is a large factor in the area for group activities:
- Spring/Summer: Golf, tennis, Lake Cruises, fly and lake fishing, river rafting, bicycling, kayaking, hiking, horseback riding and more
- Fall/Winter: Lake Cruises, bicycling, skiing at Silver Mountain or Schweitzer, cross country skiing, ice skating, sleigh/hay rides, gondola rides, spa-spa-spa!

Destination Management & Activities Document
Our DMC Team also has many local area brochures and maps available on request. Please contact your Conference Service Manager for additional information! For additional information on tours, availability or customized outings, please contact either the DMC Team or your Conference Service Manager.
The Resort's Business Center is located on the main floor of the hotel, just across from the lobby fireplace. There you can take advantage of two computer workstations, faxing, photocopying, or ask our Business Center staff to assist with area dining reservations, car rental arrangements and more!
Spouse Programs
Many options for group events for spouses are already planned for you. Even more popular is a customized program based on your requests. Your Conference Service Manager will work with you and our talented team of specialists here at The Coeur d'Alene Resort to set up an event to remember!
In addition to the group and individual activities found on our Destination Management & Activities Document, the Resort's newly renovated and greatly expanded Spa is a tremendous way to thank these special guests! Whether you are planning a group event or individual treatment times, the staff at the Spa is ready to make this time special.

Spa Information
The Coeur d'Alene Resort Spa is a great resource for you for both individual treatments and group activity arrangements.
A little personal "R&R", a yoga break for your meetings, or a health and wellness class for spouses during their breakfast cruise, the professional staff at the Spa is ready to spoil you and your guests. From the Signature Services of Mountain Spirit, Fragrant Forest or Cedar Waters, your complete enjoyment is sure!
Completely renovated and expanded in 2006, the Resort's spa is spectacular! Pamper yourself in our larger and more luxurious European spa featuring 20 treatment rooms and waterfront meditation room, a state-of-the-art hydrotherapy and massage component, and a couples massage room. The mens' and ladies' dressing rooms are elegant and fully appointed for your guests' comfort.

Golf and the Golf Course for Groups
Reservations - Golf season is a busy one here at the Coeur d'Alene! Be sure to arrange your tee times for any golf far in advance of your arrival!
Transportation to and from the Course - Climb aboard the Eagle or Double Eagle, our 16-passenger water taxis. Crafted from hand-carved mahogany, our two Stancraft 30-foot beauties leave the Resort on the hour and the half-hour to whisk your golfers on a breathtaking 6-minute trip over to the golf course. The water taxis return golfers on the quarter past and quarter to the hour to the Resort.
Golf Bag Handling - On arrival at the Resort on their day of check in, each golfer stores their golf bag with our Bell Desk Staff. On the day of golfing at the Resort Golf Course, the Resort Transportation Team seamlessly transfers the clubs to the Golf Course, where they are cleaned, then ready and waiting for your golfers on their golf cart as the golfers arrive from the Resort by water taxi. Please note that the U.S. Coast Guard does not allow any clubs on the water taxis.
Forecaddie Program - Your golfers will be greeted at the dock on their water taxi arrival by their forecaddie who will accompany them on their rounds. The forecaddie will take your golfers to the Pro Shop where their clubs will be waiting on the golf cart, then direct them to the over-the-water driving range.
The Floating Green - Located 100 to 200 yards from shore, the Floating Green measures 15,000 square feet in size and is anchored to the bottom of the lake by a series of cables which permit operators to vary the playable length. After their tee shot, the golfers board a small boat, called the Putter, to reach the green and putt in.
Food and Beverage Program - The Floating Green Restaurant is well equipped to handle a quick snack for golfers on-the-go or enjoy a full-service dining experience with breathtaking panoramic views of the Floating Green and Lake Coeur d'Alene. Group golf boxed lunches can be ordered in advance and pre-loaded in our custom deluxe golf carts with built-in coolers for golfers to enjoy at their leisure. Breakfast buffets, post-tournament luncheon's and dinners at our lakeside golf pavilion are also available for groups of all sizes.

Tournaments - Our dedicated Tournament Director and group golf coordinators will work with you on all aspects of your golf tournament, including transportation arrangements to and from the golf course for larger groups, tee prizes, on-course contests, scoring, tee signage and sponsorship details.
Golf Course Lakeside Pavilion - The Golf Course has a large, tented area that is perfect for group meals. Please contact your Conference Service Manager for information on availability and budgeting for this location!
On-Site Communication
Pre-Convention Meetings
We welcome the opportunity to have you meet as many of our team prior to the start of your program as possible!
This is a terrific opportunity to review details, ask any remaining questions and put faces to names so the program is as smooth as can be! Your Conference Services Manager will work with you to plan the best day and time for your pre-convention meeting. Should you not wish to have a pre-con, we can arrange a more informal detail review meeting at your request.
Conference Service Manager and Banquet Team
Your Conference Service Manager will provide a schedule of the Banquet Managers and Supervisors scheduled to work on the
morning and evening shifts for each day of your program. This schedule will be provided to you at the pre-convention
meeting or in your arrival packet if you do not wish to have a pre-convention meeting.
The Banquet Managers and Supervisors are on-site to assist with your needs during your meetings and events. This team of professionals are the best in the region and will work closely with you each day to ensure all of the arrangements you made with your Conference Services Manager are carried out.
Group Rooms Coordinator and Front Desk Team
Your Group Rooms Coordinator will advise you as to the main point of contact at our Front Desk for any days that
the GRC is not scheduled to be on-site. Our Front Desk Manager or Supervisor will also attend the pre-convention
meeting to welcome you and answer any questions you may have at that time.
Additional Streamlined On-Site Communication
No need to memorize extensions, phone numbers, pagers, etc.!!! With the Resort's Guestware program, your needs are
quickly reported and met. Simply pick up any house phone and dial -0-. The Guestware operator will listen to your request,
then dispatch the appropriate department contact to assist you right away.
Billing Review Meetings
Keeping on top of all of the details is important - we would be happy to set up a time for a daily billing review meeting,
or simply deliver the previous day's charges to your registration area or guest room, whichever is best for you! Please let
your Conference Services Manager know your preference and we will make sure to get it set up for you.
Post-Convention Meetings
Should you prefer to have a formal post-convention meeting to review the program, billing and any outstanding items, please
let your Conference Service Manager know in advance - we would be happy to have all of the necessary staff there to wrap things up!
Security and Emergency Preparedness
Items left in meeting rooms
- Lost and Found - Items of value left behind in meeting rooms which are found by Resort Staff are taken to lost and found where they are logged and held until positive identification of the owner is established. If an item is left in a room and the room is not immediately cleared out, it is likely that the left item may not be recovered.
- Disposal of items - Handouts, papers, flipchart pages, etc. are most often disposed of as the Banquet Staff clears the room and are not likely to be recovered. Should you have items that need to be saved at the end of the day, please alert your Banquet Manager assigned to your room that day.
Keys for Meeting Rooms
Keys are distributed for access reasons, not to indicate the room is secure when locked. If you are interested in the actual
security of the area, or if there are items of value that will be left in the area, Resort Security or a room rekey can be scheduled
for an additional charge.
Scheduling Security
Should you have interest in scheduling security for your trade show or event rooms, this can be arranged at the rate of $25.00 per hour,
per officer. Please contact your Conference Services Manager 10-14 days prior to the event date to schedule this service.
The hours, number of Resort officers and hourly rate of pay will be outlined in the Special Instructions section of each event's BEO where security has been scheduled.
Should a Meeting Planner decline security officers for an event, the Catering Sales Manager will outline this in the Special Instructions section of the BEO. The Catering Sales Manager will also alert the Director of Security of any events where this declination of a scheduled officer may lead to possible security issues.
Emergency Preparedness Policies and Procedures
For all emergencies, our Security Team is on radio, cell phone and pager. You or your guests need simply phone the operator at extension ~0~ and the operator will take over from there.
For medical needs, Kootenai Medical Center and the After Hours Clinic are both within 2 miles of the Resort. Our Security Team will assist with handling emergency arrangements for these needs as well.
VIP Gifts & Amenities
Your Conference Service Manager can assist you with creation, pricing and delivery arrangements for gifts for your group! With a multitude of regional and custom items available, any interest and any budget can be satisfied.
Customization is available for all gifts -- golf items, apparel, wines, snacks and all-things-Huckleberry! You name it and we can create it! Make sure your guests see how special the Idaho area is and have something wonderful to take home to share with their friends and family.
Ways to incorporate gifts into your planning:
- Gifts can be arranged to be shipped to your attendees in advance of the event to generate excitement for the upcoming program.
- Welcome gifts on the night of arrival
- Nightly room drops (great for sponsorship opportunities!) to hint at the next day's activities
- Turndown service, food and beverage deliveries for VIP rooms
- Farewell gifts can be handed out on departure or shipped after the guest's return home for a nice wrap up to their time in Coeur d'Alene
Your Conference Service Manager will walk you through each step of the gift planning process and can update you on all delivery arrangements and related delivery or shipping charges to budget for your selected services.
